Fleet Management Software Development

About this Service

The displayed price and timeline are indicative, based on our experience with comparable projects. We discuss the scope, final cost and delivery schedule for each project individually.

UITOP designs and develops fleet management software for teams responsible for vehicles, heavy equipment, service work and field operations. We work on the product interface and the application behavior behind it, connecting equipment records, operational status, maps and maintenance context in the agreed scope.

We can join an existing fleet platform or help define a new product area. Before planning changes, we review the current data, code, integrations and workflows your team already relies on.

When This Service Fits

  • A fleet manager sees equipment status in one view and service issues in another, with no clear path between them.

  • Your product needs to show which asset has a reported issue, what has been checked and who is responsible for the next action.

  • Mapping, equipment records and maintenance information depend on several APIs or data sources.

  • An existing fleet platform needs design and engineering work while its current users continue relying on it.

  • A product team needs to agree how delayed, missing or conflicting equipment updates appear to operators.

What You Get

  • A review of the selected fleet workflow, user roles, equipment records and data sources.

  • A defined starting scope, including the actions and states your team will review in the working product.

  • UX/UI design for the agreed screens, map interactions and connected record views.

  • Frontend implementation and the backend or API changes included in the scope.

  • Reusable interface patterns for equipment status, issues and service history.

  • Integration behavior for the specifically agreed systems and available APIs.

  • Checks of the agreed user scenarios, data states and relevant failure conditions.

  • Source code, documentation and a handover for the implemented work.

The starting engagement focuses on one connected operational workflow. We confirm affected roles, records, integration access, technical constraints and release responsibilities before development begins. Additional modules, data migrations and specialist hardware work receive their own scope.

Equipment Status With Its Context

A fleet view needs to identify the asset and explain what its current status means. We define which system supplies each update, when it was last received and which details the user can inspect. A map selection can open the same equipment record a manager uses to review service work and recent issues.

For an existing product, we trace how equipment identifiers, location data, inspection records and maintenance information are connected today. The interface and application logic then use the agreed relationships for the selected workflow.

Issues, Inspections and Service Work

We map the people and records involved in reporting a problem, reviewing it and updating its status. Depending on the product, that may include an equipment detail page, a reported issue, an inspection entry and a related maintenance record.

The team agrees what each status means and who may change it. We design the relevant views and implement the changes included in the phase, then check that the same equipment and issue information appears where the selected users need it.

Maps and External Data

Fleet products may combine equipment records with location or machine data from external providers. We inspect the documented APIs, identifiers, update intervals and sample data before committing an integration to the scope. Operators should be able to distinguish a recent update from a delayed or unavailable one.

For the selected connection, we define what happens when a request fails, a record cannot be matched or the source sends changed information. Hardware protocols, device installation and remote vehicle commands require separate technical review and specialist scope.

Working With Your Existing Product

UITOP can work inside a live fleet application. We review its architecture, components, current users and release process before changing the selected workflow. Our designers can work directly in your prototype or use a functional artifact in an agreed tool to resolve interaction details with your team. Figma is available when design files fit the process.

Our developers implement the agreed interface and application changes in the product environment. Designers, engineers and your product team review the same scenarios as the work progresses. We record dependencies and prepare checks around the behavior existing users rely on.

Relevant UITOP Work

UITOP redesigned and developed parts of Activate OS, an existing platform for construction fleet and heavy-equipment operations. The work included a modular React interface, reusable map components and a dashboard that connects equipment information with service work, issues and inspection schedules. UITOP also worked on API middleware for equipment-data integrations.

That experience informs how we approach an existing fleet product: inspect the current system, define the equipment workflow and implement the changes the agreed data sources can support. The capabilities of each new integration are reviewed for that client's environment.

Checking the Working Workflow

We test the agreed scenarios with representative equipment records and user roles. Checks may cover finding an asset, opening its service context, updating an issue, viewing the saved state and recognizing a delayed or failed external update. The test plan also includes affected existing behavior in the agreed product area.

Your team receives the implemented work and a record of what was checked, along with any open data or release dependencies. Tell us which part of your fleet product needs work now. What equipment information do your users need to act on, and where does it come from?
