About the Client
Workwize is a B2B SaaS platform based in the Netherlands, helping global organizations manage the complexity of remote work compliance. From onboarding remote employees to handling equipment logistics and labor law alignment, Workwize enables companies to stay compliant and efficient — no matter where their teams are based. Their platform is used by fast-scaling companies to streamline operational workflows and reduce the overhead of managing remote workforces.
The Mission
Outcraft was brought in to rethink the Workwize user experience from the ground up. The platform was evolving rapidly, and so were the needs of its enterprise customers. Our mission was to create a user-centric, scalable product experience that makes complex compliance workflows feel simple — while laying the foundation for long-term growth across new features, markets, and user types.
Understanding the Challenge
Designing for Workwize meant addressing a multi-layered product ecosystem. The platform serves HR teams, IT departments, operations managers, and employees — each with distinct goals and technical fluency. The challenge was to unify these diverse experiences through one consistent, intuitive interface. We needed to simplify navigation, organize dense information structures, and ensure the product could scale without losing clarity.
Our UX Approach
We began with an in-depth discovery process: stakeholder interviews, behavioral analysis, and audit of existing UX patterns. From there, we mapped key user journeys, defined pain points, and restructured the information architecture. The new UX framework was built on modular design principles, allowing us to create reusable components that support rapid product iteration.
A clean UI layout with defined hierarchy, flexible grid systems, and interaction design patterns helped ensure consistency across the platform. Special care was taken to simplify onboarding, reduce user friction, and ensure clarity in task flows — particularly around complex features like country-specific compliance rules and equipment approval processes.
The Outcome
The result is a modern, accessible user experience that supports Workwize’s growth across international markets. With faster task execution, clearer workflows, and a more intuitive product structure, users now get more value from the platform with less effort. For Workwize, this redesign not only improved usability — it also created a scalable foundation to introduce future features, automate more processes, and serve a wider customer base.
