OVERVIEW:

The National Regulator for Compulsory Specifications (NRCS) is responsible for approving products for entry into South Africa. The existing paper-based system has significant shortcomings, leading to safety and transparency issues. These errors in the approval process cost the company millions. Ensuring a secure and transparent system is crucial for NRCS.

USER RESEARCH

Objective: Understand the needs and challenges faced by the National Regulator for Compulsory Specifications (NRCS) with their current paper-based system.

Methods:

Interviews: Conducted interviews with NRCS employees and managers

Surveys: Distributed online surveys to some NRCS staff

Observation: Observed employees during their daily tasks, especially during inspections and invoicing processes.

KEY FINDINGS

Frequent Issues: Employees often lose or misplace documents. Clients experience delays in receiving invoices.

Time-Consuming: A significant amount of time is spent on paperwork, reducing productivity.

Tracking Problems: Employees struggle to accurately track their tasks and locations, leading to scheduling conflicts.

Performance Measurement: There is no clear way to measure or compare employee performance.

Feedback Delays: Inspectors take longer to submit feedback using the paper-based method.

Security Concerns: Paper documents are easily lost or tampered with, compromising data security.

DESIGN

TIMELINE:

We created a system for the National Regulator for Compulsory Specifications (NRCS) to solve issues with their paper-based process. Our system helps create, send, and manage invoices for clients. It also tracks where employees are and what they are doing. This helps manage when they go to clients. The system also rates employees and teams, showing the best and worst performers. Inspectors can now inspect items and give feedback faster without using paper. This makes the process more secure and transparent. Our solution improves efficiency and safety for NRCS.
