Abstract: From Macro Chaos to Unified User Experience and Smart Sales Strategy: A Proposal for Transforming the Delivery of Behsazan Majazi's Robotic Products

Challenge:

Behsazan Majazi operates in the field of developing automation bots for various social media platforms. The current product delivery method, which involves downloading ZIP files containing multiple macro folders, data-filled Excel files, and a poorly designed PDF user manual, has created several challenges for users:

  • Initial Complexity and Confusion: Users encountering a complex file and folder structure after purchase experience a sense of ambiguity and difficulty in getting started with the products.

  • Ineffective User Manual: Providing the manual in a poorly visually designed PDF format lacks the necessary effectiveness for user training.

  • Unfamiliar Technical Terminology: The use of the term "macro" for users without technical expertise is confusing.

  • Lack of User Experience Integration: The absence of a unified platform for managing and accessing all bots results in a fragmented user experience.

  • Limited Opportunity for Cross-selling: The current product delivery structure does not provide a suitable opportunity to introduce other company products and encourage customers to purchase them.

Implemented Solution:

In order to improve user experience and increase sales opportunities, Behsazan Majazi proceeded with the design and development of a unified Windows-based application. The User Interface (UI) design process for this application was carried out using Adobe XD. The key features implemented in this software include:

·         Visually Appealing and Platform-Consistent User Interface (UI): The application's UI was designed and implemented using Adobe XD, inspired by the visual identity of the target platforms (familiar colors and elements like Instagram's cyan, WhatsApp's green, and Telegram's blue). This significantly improved the sense of familiarity and ease of use for users.

·         Comprehensive and Multimedia-Rich Help Section: A comprehensive help section was created and made accessible to users within the application, utilizing short and clear video tutorials for each bot and function. Providing visual content facilitated the learning process for users with varying levels of technical knowledge.

·         Use of Simple and Understandable Language: The technical term "macro" was replaced with the word "bot" throughout the software and documentation, which prevented creating a sense of complexity and apprehension in users.

·         Offering Main and Demo Versions with a Smart Sales Strategy: A demo version with limited features was offered for users to familiarize themselves with the application. In this version, a clear and easily accessible "Purchase Product" button was placed in the right-hand menu (Bots and Help section). Next to this button, a section for displaying other company products was also included, which helped increase user awareness of other offerings from Behsazan Majazi.

·         Easy Access to the Main Website: The company website logo was placed in the top-left corner of the application with click functionality to direct users to the main website, facilitating access to more information and other company services.

The implementation of the unified software led to significant achievements for Behsazan Majazi:

  • ·        Significant Improvement in Customer Satisfaction and Reduced Churn Rate: Initial user feedback indicates that the attractive user interface and comprehensive guide have made product usage much easier and more enjoyable, significantly reducing their confusion. This has resulted in a decrease in the user churn rate.

  • ·        Increased Brand Awareness and Improved Product Sales: Offering a demo version with easy access to purchase and showcasing other products has helped increase user awareness of Behsazan Majazi's entire product portfolio, and evidence suggests that the conversion rate of potential customers to buyers has also improved.

  • ·        Reduced Support Team Workload: Simplifying terminology and providing effective visual tutorials have significantly decreased the number of support requests related to how to use the software.

  • ·        Enhanced Brand Image: Providing a professional and user-friendly software has created a better image of the Behsazan Majazi brand in the minds of the audience, and it has been recognized as an innovative and customer-oriented company.

Lessons Learned

  • ·      Prioritizing User Experience (UX): Designing products with a focus on user needs and understanding is a key factor in their success.

  • ·      Importance of Practical Training: Providing comprehensive and multimedia-rich help plays a significant role in facilitating product usage and increasing user satisfaction.

  • ·      Effective User Communication: Using simple language and avoiding complex technical terms establishes better communication with the audience.

  • ·      Leveraging In-Product Marketing Opportunities: Embedding sales strategies and cross-promotion of related products within the application can effectively contribute to business goals.

  • ·      Value of Integration: Offering a unified and coherent platform for accessing all products provides a better user experience and presents a more professional image of the company.
