Employee Dashboard Concept

The problem

In a corporate setting that involves frequent interaction with multiple teams, it is essential to have quick access to various links, such as Figma, Notion, and Google Drive. As part of my routine, I regularly shared these links with both the product and engineering teams. Additionally, managing a constant stream of meetings throughout the day can be challenging to keep track of.

To understand the problem better I conducted a small survey with my coworkers and asked them the following questions

  • On a scale of 1-10, how well are you able to manage your current workload?

  • What factors in a day play role in affecting your productivity?

  • Are there any processes or workflows that you find inefficient or cumbersome?

  • Is there anything that you currently do to overcome such hurdles?

  • Are all of your team members aligned with the workload that has been assigned?

  • If not, what do you think is the reason for that?

  • Currently, do you use any tool to monitor the tasks within a team?

  • Do you feel that there are any communication gaps or barriers between different teams?

  • How do you deal with such communication gaps?

In brief, the issues encountered by users can be summarized as the following points:

  • Meetings can be hard to keep track of

  • Important links can be difficult to access and keep organized

  • It can be challenging to coordinate and communicate within a team

  • Communication between different teams can be difficult and lead to delays

  • Currently, the developers use JIRA to track their tickets (Not a problem, but possible scope)

To understand it better I have attached a mind map below to understand my thought process.

The solution

Taking into consideration the survey results, it appears that users are encountering a challenge of not having all necessary information consolidated in a single location. With consecutive meetings, ongoing sharing of links, and frequent viewing of JIRA tickets, employees are struggling to keep up with the demands of gathering everything they need. It would greatly enhance efficiency if all critical links were centralized in a single, accessible location.

So keeping this in mind the first raw wireframe would look something like this.

With this information, we now have a fundamental understanding of the requirement and can concentrate on improving the user experience to make it more intuitive and user-friendly.

Which led to the following iteration of the wireframe.

Great, it seems like progress is being made! We have identified important aspects such as upcoming meetings and essential team links that are relevant to a specific group. These links may consist of items such as team drives, figma links, and notion links. Furthermore, the user can conveniently access their team information through the top-right dropdown menu, while the key links section displays visible code. Depending on who is using it the right type of integration can make the workflow easier for eg; A developer might integrate JIRA with the platform as they would want to know the tickets and similarly, an SDR might integrate a CRM so that they know when to reach out to their leads

After converting it into a UI design, it would look like this

Adding final tweaks such as adding a copy icon next to the team code indicates that the user can share this code with the teammates that are supposed to be a part of the team. I have also added icons of people part of a particular meeting to help the user understand the stakeholders which would in turn help them in understanding the agenda of the call as well. The user can see their organisation from the bottom left part of the side navigation within the profile.

Since, this being an employee dashboard concept I have also added navigations such as tax portal and leave application as this can be a one stop shop for employees to take care of all their organisational related tasks.
